Sharing & schedules
Deliver selected rows once or send a reviewed report on a recurring schedule.
Share selected rows
Select only the rows required for the recipient, then choose the share action. The plugin sends the visible, selected report data through Moodle’s email system. Treat shared report content as an export and apply the same privacy review.
Create a schedule
- Open the report’s Schedules tab
Existing schedules are searchable, sortable, and paginated.
- Create an email schedule
Set a clear name, format, first run, recurrence, subject, body, recipient audience, empty-report behavior, and enabled state.
- Send a test
Use the one-time send action when available and inspect the result before enabling recurrence.
- Monitor the next run
Confirm cron, delivery, last-send time, and failure state.
Recipient rules
| User type | Schedule visibility | Recipient scope |
|---|---|---|
| Billing Admin | All schedules for the report | Configured permitted audiences, subject to access checks and limits |
| Other authorized user | Schedules they created | Self only |
Recipients must have local/la:view. The all-users option is bounded by schedulemaxrecipients, which defaults to 100 email-enabled users in config.php.
Delivery behavior
Schedules depend on Moodle cron. Failed deliveries use persistent, bounded backoff rather than retrying continuously. Invalid schedules are disabled. Premium report entitlements are checked at send time so a previously installed report does not continue scheduled delivery after access is lost.
Operational checklist
- Use a descriptive schedule name and email subject.
- Choose CSV or another format appropriate for the recipient.
- Decide explicitly whether an empty report should be sent.
- Keep recipient groups smaller than the configured maximum.
- Review schedules after audience, role, report, or license changes.
- Monitor Moodle mail and cron logs for delivery failures.
