Audiences & access
Use audience rules for eligibility and user-report relations for personal report state.
Access model
Two related layers determine the report experience:
Audience eligibility
Decides whether the user is allowed to discover and open the report.
User-report relation
Stores enabled state, favorite state, user parameters, and access timestamps.
For non-Billing-Admin users, no audience rows means no report access. A user who matches an audience may still need to enable the report before opening it.
Audience types
| Type | Use it for | Review note |

| All users | Reports safe for every eligible plugin user. | Broadest scope; use sparingly. |
| Site administrators | Operational or sensitive administrative reporting. | Includes site administrators as evaluated by Moodle. |
| Selected roles | Teacher, manager, or organization-wide role workflows. | Confirm where and how the role is assigned. |
| Selected users | Pilots, specialists, or exceptions. | Review when people change teams. |
Billing Admin
The configured Billing Admin is a global override for report audiences and owns catalogue review, report/app installation, audience management, licensing, and subscription review. Moodle users with local/la:manage can administer Lenarys Analytics, but subscription-specific actions remain reserved for the Billing Admin.
Access tab
The Billing Admin can use a report’s Access tab to review users matching the audience and their relation state. Columns include identity, Enabled, Status, Favorite, First access, Last access, and Updated at. Search is server-side across first name, last name, and email.
Recommended rollout
- Start with selected users
Validate result scope and terminology with a small pilot group.
- Move to a role audience
Confirm the Moodle role assignment model produces the expected people.
- Review the Access tab
Spot unexpected users before announcing the report.
- Recheck on organizational change
Roles and user assignments evolve; audience rules should be reviewed on a schedule.
