Filters & columns

Shape a report for the current task while preserving its reviewed base definition.

Smart filters

Each report definition chooses its available smart filters. Common filters include users, courses, modules, enrolment methods, completion states, roles, and report-specific status fields. Large result sets are searched, sorted, and paginated on the server.

  • Use the most selective filters first.
  • Clear stale URL parameters before comparing results.
  • Save a default search field only when it fits most users of that report.
  • Confirm filters are still applied before downloading.

Date controls

Reports can define synthetic date columns for Learning time and Visits. The toolbar may offer ranges such as today, yesterday, this week, last week, this month, last month, a custom range, or all time, depending on the definition.

Calendar entitlement. Date controls can remain visible but unavailable when the current license does not include the calendar feature.

Column bank & controls

The column bank contains the supported fields available to a customizable report. Use it to add fields deliberately, then control how installed and custom columns appear in the table.

Customize safely

  1. Duplicate the report

    Keep the installed catalogue definition available as a known baseline.

  2. Change one concern at a time

    Adjust columns, filters, or metadata in small steps so regressions are visible.

  3. Test edge cases

    Check empty results, hidden courses, suspended users, large datasets, and download output.

  4. Reconfirm the audience

    A copied report is a new object and should receive deliberately reviewed access rules.
